What we keep, and why.

This notice explains what personal information 5Ster Express (Pty) Ltd collects through this website, why, who sees it, how long we keep it and what your rights are under the Protection of Personal Information Act, 2013 (POPIA).

Contents Inhoud 9 sections

1. Who we are

5Ster Express (Pty) Ltd (“5Ster”, “we”) is a courier company in the Western Cape. We are the responsible party for the personal information described here.

2. What we collect

When you ask for a quote

  • Your name, company name (optional), phone number and email address.
  • The collection and delivery addresses, the areas, the sizes and weights of what you’re sending, and any comments you add.
  • The quote we worked out, with its quote number and date.
  • Your IP address and browser details, which we record to help prevent spam.

Using the price calculator on its own (without sending a request) does not store your details.

When you apply for a business credit account

  • Your business details, such as the company name, registration and VAT numbers, and addresses.
  • Contact and billing details of the people we deal with.
  • The business’s bank details: the bank, the account holder, the account number, the branch code and the account type.
  • Trade references, if you give them: the names, contact people, phone numbers and email addresses of businesses you deal with.
  • The documents you upload, which can include copies of identity documents and bank details.
  • Your consent to this notice, with the date and time you gave it.

When you contact us

If you WhatsApp, phone or email us, we keep the messages and details you send so that we can help you.

When you visit the website

The website uses a session cookie and a security cookie that it needs to work and to protect its forms. We don’t use advertising or tracking cookies. Our web server keeps standard technical logs (such as IP addresses and the pages requested) to keep the site secure.

3. Why we use it

  • To answer your quote request, arrange the collection and delivery, and contact you about it.
  • To assess your credit application, open and run your account, and send statements and invoices.
  • To keep the records the law requires, such as tax and accounting records.
  • To protect our forms and website from spam and abuse.

We process this information because you asked us to (to take steps towards a contract with you), because we have to by law, or because it is in our legitimate interest to keep the website safe. We do not sell your information, and we don’t use it for marketing without your permission.

4. Who sees it

  • 5Ster staff who handle quotes, deliveries and accounts. The website’s admin area is only open to them, with a login.
  • Our email provider. Quote requests and applications are emailed to our 5sterexpress@gmail.com mailbox, which is run by Google. Google may store email on servers outside South Africa.
  • WhatsApp (Meta), if you choose to message us there.
  • Our website host and developer, who keep the website running and may see information while maintaining it, under an agreement to keep it confidential.
  • Authorities, only when the law requires it.

5. How long we keep it

  • Approved accounts: for as long as the account is open, and afterwards for as long as tax and company law require us to keep the records.

Old applications and their documents are deleted from the website, not just hidden.

6. How we protect it

  • The whole website runs over an encrypted connection (HTTPS).
  • Uploaded documents are stored in a private part of the server that is not reachable from the internet. Only logged-in 5Ster staff can open them.
  • The forms have spam protection and limit how often they can be sent.

If we ever have reason to believe your personal information was accessed without permission, we will tell you and the Information Regulator, as POPIA requires.

7. Your rights

Under POPIA you can:

  • ask whether we hold personal information about you, and ask for a copy of it;
  • ask us to correct information that is wrong or out of date;
  • ask us to delete information we no longer need or are not allowed to keep;
  • object to how we use your information; and
  • complain to the Information Regulator of South Africa (inforegulator.org.za (opens in a new tab)).

To make a request, contact our Information Officer below. We may ask you to prove who you are before we act on a request.
